The Client: Event Management Company

The Project: Annual Children’s Charity Event, Admin Support
Task: To provide administrative support to the client’s Event Director during the lead-up to the Charity event.
Method: In the run up to the event, the Event Director was juggling a wide variety of tasks and required administrative and IT related support, which included managing a database of attendees, keeping a log of car registrations for parking permits, train journeys and flights, departure and arrival dates/times and co-ordinating itineraries for those involved in the event, who would be responsible for meeting families from trains and at airports.
Collation and despatch of the family pack, which included details of transportation that had been arranged for each individual family, Hotel accommodation that had been organised, expense and photography/filming permission forms, SAE’s etc and liaison with families in order to obtain certain required information.
A further family pack was organised for supply at the Hotel, which contained badges printed from the database, along with an itinerary for the day’s event and details of coach transportation to the venue and the arrangements for taxi’s where required for return journeys to train stations and airports, and the return coach journey to the Hotel, where appropriate.
Assistance was provided to the Event Director in putting together itineraries and the Event Briefing document for all suppliers and client representatives involved, including details of the entertainment, celebrities and their guests who would be attending and what time each would arrive, on-site vehicle movements, event timings, catering arrangements etc.
